DATA POLICY (25/05/2018)

The Policy

The following is the Wembury Sailing Club (WSC) policy on collection, storage, sharing, retention and deletion of data on the members of the club.

Collection of Data

Application for membership of WSC is made each year using Google Forms internet process.

Data collected on the application form comprises applicants name, address, email, telephone number and vessel details.

When you submit your annual WSC membership application form, we keep this data as well as the previous 2 years.  This allows us to manage the boat & kayak storage.  All data older than the previous 2 years are deleted.  Embodied in the WSC email are instructions as to how to unsubscribe to future emails.

The data is automatically stored in a Google database online when you submit your application.

Viewing of Data

The data is only accessed by the membership secretary in order to manage requests for annual subs, vessel fees and for the issuing of WSC notices such as agenda for AGM, etc.

Sharing of Data

The number of members (associate & full), boats, kayaks and kayak rack leases are shared with anyone who may request.  No name, address, telephone numbers or email addresses are shared or accessed by anyone other than the membership secretary.

Applicants Copy of Data

On submission of an application an automatic response to the application is emailed direct from Google Forms to each applicant giving a copy of the form and the data entered.

By ticking the disclaimer box and submitting the form you consent to the Liability disclaimer, and from the 2019 season this will also include consent for storage of data included in the membership application form.

Members Rights

Members have the right to see what details are held and have the details changed if requested.  You also have the right to have all your details erased from the club database (including the saved previous 2 years history data). Please forward requests to
